We are currently looking for a 6 months fixed term contract HR Operations Coordinator in Madrid to join our HR Operations team. This unit is mainly providing services to SICPA Switzerland. This position aims at providing high quality support on operational HR activities.




  • Provide support to employees, HR team and management to handle a variety of HR-related transactions. 
  • Maintain the human resources database, as well as global data in our various HR systems and propose HRIS improvements.
  • Process various paper and electronic forms related to documenting human resources activities such as new-hire on boarding, change-of-status, performance evaluations, benefits, termination of employment, etc. 
  • Provide various HR reports for different departments such as KPIs, organizational charts, active population of different entities, etc. 
  • Reporting on time management statistics, and other information assigned as well as employees request on time management. 
  • Execute HR administration tasks such as document completion, personal and professional data changes in the system, work certificates, and other documents preparation related to payroll administration, contract preparation, etc.
  • Announcement and follow-up on sickness & accident cases by coordinating with the different stakeholders
  • Process salary and holidays reduction following absences
  • Support employees, managers and HR team in answering administrative questions regarding internal policies and regulations
  • Draft internal HR communication, maintain HR portal, publish HR news




  • Bachelor degree in a related field is desirable 
  • 2 years of experience in a similar role is desirable 
  • Fluent in English , good level of French and Spanish are mandatory. 
  • Strong analytical skills and methodical approach: at ease with calculations, formula, excel functionalities, compiling data from various sources, etc.
  • Customer focus, Ability to identify priorities and possible impacts on various processes and stakeholders, excellent communication skills, ability to work in a remote and matrix environment, respect of deadline and detail-oriented are key competencies. 
  • Strong IT skills, especially in SAP HR and Microsoft office. SharePoint knowledge is a plus.
