HR Operations Specialist
Madrid, Spain

ROLE
- Manage the full cycle of employee absences in Switzerland, including processing absence requests, handling special leave cases, maintaining schedules in the time management system, verifying and recording medical certificates, coordinating with the external partner and payroll, ensuring proper absence follow up, and controlling insurance benefit statements.
- Handle and respond to inquiries received in shared mailboxes to ensure timely support to employees and managers.
- Oversee administrative processes for temporary workers, including onboarding, offboarding, weekly reporting, and continuous improvement of related procedures.
- Ensure accurate monthly time management closing by resolving anomalies, processing overtime, preparing timesheets, and supporting updates to relevant procedures.
- Produce HR analysis and reports for different departments.
- Lead HR Operations projects aimed at improving existing practices, methods, and procedures, and drive digitalization within current processes as well as in the development of new ones.
- Apply and promote HR internal policies and regulations across stakeholders (employees, managers, HR team).
- Document best practices and decisions taken within HR for future reference.
PROFILE
- Bachelor’s degree in a related field and/or HR certification
- Minimum 5 years of experience in HR Operations
- Fluent in English, with strong proficiency in French and a basic level of Spanish
- Interest in and/or knowledge of Swiss labour law
- Proven ability to manage highly sensitive and confidential data with absolute discretion and compliance
- Strong command of Microsoft Office and SuccessFactors; familiarity with time management systems
- Highly organized, proactive, and detail-oriented
- Excellent interpersonal skills, with a customer focused and collaborative approach, and the ability to effectively manage and escalate issues
- Ability to work comfortably within a matrix organization
