HR Operations Specialist

 

ROLE

 

  • Manage the end-to-end jubilee process, including tracking employee milestones and anniversaries, coordinating recognition activities, distributing Swibeco points, liaising with payroll, and ensuring timely and accurate processing in line with company guidelines.
  • Handle and respond to inquiries received in shared mailboxes to ensure timely support to employees and managers.
  • Maintain and keep up to date the HR portal on the company intranet, ensuring employee-facing content and links remain current and publishing updates as requested.
  • Support colleagues in managing the full cycle of employee absences in Switzerland, including processing absence requests, handling special leave cases, maintaining schedules in the time management system, verifying and recording medical certificates, coordinating with the external partner and payroll, ensuring proper absence follow‐up, and controlling insurance benefit statements.
  • Lead HR Operations projects aimed at improving existing practices, methods, and procedures, and drive digitalization within current processes as well as in the development of new ones, documenting best practices and decisions taken for future reference.
  • Support the local Swiss HR team in drafting employee lifecycle documents, including employment contracts, amendments, and related correspondence.
  • Apply and promote HR internal policies and regulations across stakeholders (employees, managers, HR team).

 

PROFILE

 

  • Bachelor’s degree in a related field and/or HR certification
  • Minimum 5 years of experience in HR Operations
  • Fluent in English, with strong proficiency in French and a basic level of Spanish
  • Interest in and/or knowledge of Swiss labour law
  • Proven ability to manage highly sensitive and confidential data with absolute discretion and compliance
  • Strong command of Microsoft Office and SuccessFactors; familiarity with time‑management systems
  • Highly organized, proactive, and detail-oriented
  • Excellent interpersonal skills, with a customer‑focused and collaborative approach, and the ability to effectively manage and escalate issues
  • Ability to work comfortably within a matrix organization
